Position Overview: The Executive Assistant will directly assist the CEO and CAO with administrative duties including: correspondence, record keeping, minor accounting and human resources duties, organizing meetings, calendar and scheduling administration, sending reminders and internal memos, answering phone calls and returning phone calls, internal and external appointment setting.

Primary Responsibilities and Duties

This position will have the following primary responsibilities:

  • Correspondence
    • Email correspondence on behalf of CEO and CAO
    • Email inbox organization and coordination
  • Schedule, Appointment Setting, and Calendar Coordination
    • Scheduling internal meetings
    • Scheduling HR functions, including check-ins, annual evaluations, and additional meetings
    • Scheduling vendor and external meetings
    • Sending reminders and confirmations of appointments and meetings
  • Human Resources Administration
    • Assist in the recruitment and onboarding processes
      • Calendar organization and coordination of appointments
      • Document preparation and signature collection
      • Benefits enrollment, administration, and auditing
      • Report preparation
    • Employee file administration
      • Inactive employee file and termination/separation documentation
      • Active employee file administration and licensure maintenance
  • Executive Administration
    • Report preparation
    • Document preparation
    • Signature collection as needed
    • Digital file maintenance and organization

Secondary/ Back-Up Support and Responsibilities and Duties

This position will have the following support role responsibilities:

  • Payroll assistance and coordination as needed

Education and/or Experience Required

  • Administrative experience: 2 years (required)
  • Bachelor’s degree in Psychology, Business Administration, or Organizational Management (preferred)
